Zoho Projects Review (2026): Features, Plans and Usability

Zoho Projects is a low-cost project management platform with Gantt charts, automation and solid security; it suits small teams best, though its free tier is very limited.

Review

Zoho Projects has been on the market since 2006, and it carries the same strengths found across much of the Zoho software family: plenty of features, sensible design and prices that undercut most rivals. It is a strong pick for small teams and small businesses, and it can also work for freelancers and larger firms, although those two groups have better-tailored alternatives.

Plans and what each one unlocks

There are three tiers. The free version is thin. Each account is capped at two projects, so starting a third means deleting an old one, and storage tops out at a mere 10MB. Task handling is limited to a basic to-do list that newcomers may find adequate, though anyone who wants a more modern look would likely prefer Notion or Todoist. Unusually, a Gantt chart appears even at this level, but it is read-only. Free users also get custom statuses for labelling tasks in their own terminology, a calendar view and a project feed, which works like a social timeline of project updates where colleagues can leave comments. Integrations are available too, covering Zoho CRM and Zoho Meeting internally and Microsoft Teams, Zapier and Google Workspace externally.

Premium, at $4 per user per month billed annually, is where the tool comes alive. Project numbers become unlimited, storage rises to 100GB (enough for most small teams), and the Gantt chart becomes fully editable, with task dependencies and the ability to work directly inside the timeline. List and kanban views remain for those who dislike Gantt charts. Workload reports show resource allocation in detail, helping managers spot overloaded staff before burnout sets in. Premium also brings the ZIA AI assistant, which can draft project titles, descriptions, announcements and posts and condense content into summaries, handy for stakeholder progress updates. It is less capable than the AI in Notion or ClickUp, but still useful. Time tracking arrives here as well: users estimate hours, then record actual time with a simple built-in timer, and timesheets can be imported as XLS, XLSX or CSV files. The iOS and Android apps support timesheets too. The feature is effective, though dedicated time management tools go further.

Enterprise costs $9 per user per month on annual billing and includes everything in Premium. The template allowance grows from 20 to 30, though these are blank slots for saving your own templates rather than ready-made ones from Zoho. Storage gains an extra 20GB. Gantt charts gain critical paths and cross-project dependencies, and custom fields let managers describe tasks, milestones and timesheets in their own business language. Workflow rules automate chores such as updating a task's status and emailing people when that status changes.

How it compares on price and features

On cost per user, Zoho Projects sits among the cheapest options available. It undercuts ClickUp's Unlimited plan, another budget tier with unlimited projects, and the Enterprise plan comes in slightly below monday.com's middle tier, although monday.com remains the stronger product overall. The Gantt experience is very close to TeamGantt in both design and usability; TeamGantt edges ahead with percentage-based progress tracking, but the gap is small. The kanban board is plain next to Trello, which offers more customization and a more current look, yet its simplicity keeps it effective. Anyone already invested in Zoho can bundle the tool into Zoho One, with pricing that depends on the services chosen and is arranged through the sales team. The free tier, by contrast, is weak enough that people unwilling to pay should look at other free project management apps.

Collaboration, files and messaging

Zoho supplies its own document, spreadsheet and slideshow editors, Zoho Writer, Sheet and Show. None matches Microsoft or Google, but all work well for basic jobs. A real-time whiteboard supports text, shapes and images for building flow charts, org charts and mind maps. Anything created can be shared with people inside or outside the organization, with view-only, comment or edit permissions, and changes appear live. The native tools are impressive for the most part.

Third-party integrations are fewer than some competitors offer but include Google Drive, Microsoft Teams, Dropbox, Microsoft Office 365, GitHub and Zendesk. Outside documents can be uploaded and arranged into folders per project; that suits project files, but company-wide document management calls for dedicated software. A built-in chat tool organizes conversations by topic, lets you choose who joins each one and supports voice messages. It is basic and no replacement for Slack, but fine for light use.

Day-to-day usability

Registration asks only for a name, email address and phone number, followed by email verification, after which the project dashboard opens. The dashboard has a personal view listing your tasks and their status, and a portfolio view summarizing every project with simple pie charts and graphs. The interface can be personalized with 24 themes, a night or day mode, three fonts and five font sizes.

New projects are created from the projects section of the left-hand menu. Each one gets a name, description, start and due dates, and can be private to chosen users or public to the whole team; members can be added later from the users menu. Tasks are added with the plus icon and can be assigned to a team or individuals, ranked by priority and given dates. Every task appears across all board views, and paid users can open the Gantt chart to link dependencies.

The task views look rather plain, though columns and tasks can be color-coded. They run smoothly with no lag or crashes. The Gantt chart has a full-screen mode and filters for task types, dependencies and baseline. Overall the interface is friendly, the platform scales as a business grows, and while the design is basic it is far from the worst around.

Help resources are extensive. Tutorials are mostly well made, although a couple were outdated and no longer matched the interface. Webinars are well presented, search returns accurate results, the community area offers useful tips, and short video walkthroughs called help GIFs explain each feature, though most exceed a minute in length. These resources make Zoho Projects one of the easier project management tools to learn.

Security and privacy

Zoho is unusually transparent about protection. Data in transit uses TLS 1.2/1.3 with perfect forward secrecy, so past communications stay safe even if keys are compromised later. At rest, data is encrypted with 256-bit AES, and the data encryption keys are themselves encrypted with a master key. Physically, data centers are limited to authorized staff who pass fingerprint-controlled doors, CCTV runs around the clock, and new employees face thorough background checks.

Separate privacy policies cover global, California, U.K. and South African users, adjusted to local rules. Zoho stores only what customers provide, such as name, email and phone number, and keeps card details only when asked to through a secure payment gateway. There is no prior website tracking of the kind found with tools such as SeaTable. Data is not sold or handed to third parties, no targeted ads are served, and contact is limited to product updates (which can be switched off at any time) and support replies. GDPR protections apply to all customers worldwide, not only those in the EU.

Customer support

Email, phone, live chat and remote assistance are available on every tier, including the free one, alongside a knowledgebase, community forum and webinars. Premium customers get one-to-one onboarding, and support runs 24 hours a day, Monday to Friday. Enterprise adds a dedicated technical support manager and early previews of new features. Live chat connected to a technician immediately, and an email query was answered within two hours, with both replies thorough enough to resolve the issue.

Verdict

Zoho Projects is a capable, affordable tool focused on communication, collaboration and resource management, and in many areas it matches leading project management software such as Microsoft Project. It fits small teams best, and makes particular sense for anyone already using other Zoho apps. Solo users and medium to large businesses are better served elsewhere, and anyone set on a free plan should look beyond Zoho's restrictive free tier.
